Provides office services by implementing administrative systems, procedures, and policies, and monitoring projects, planning of works for tradesmen and liaising with the client.

Duties:

  • Works within the admin team, assisting where directed, in a pro-active and professional manner.
  • Takes ownership, and controls the company process for scheduling & job management, adding them to the system (Protean) and providing updates and reports as requested.
  • Control, and deliver service appointments and repair appointments in line with CCS operating protocol and manage engineer diaries and appointments with a focus on compliance servicing and testing.
  • Liaison with engineers both morning and afternoon to ensure efficient planning and delivery of service and repairs. Dealing with the required outputs and reporting as directed.
  • Managing customer calls, outbound appointment setting, issuing letters, manage job stages and visits in Protean management system (CRM system)
  • Work with existing team to provide assistance as required for allocating, scheduling and booking of work, particularly when covering holiday and sickness.
  • Assisting with booking of appointments, parts, follow on works and reporting daily on current works and jobs, appointments.
  • Assist with requesting parts and organizing material orders with procurement team.
  • Reporting daily to line manager on all works in progress, quality check visits and defects.
  • Overall management of entire contract and engineers daily in close liaison with technical supervisors & managers to ensure efficiency and top levels of customer service provided
  • Maintain administrative service in strict compliance with company operations manual.
  • Dedicated daily control of company IT system and stages daily to manage real time communication on repairs and compliance related jobs.
