As a Service Scheduler - Retrofit, you will play a key role in supporting our retrofit programmes by implementing administrative systems, procedures, and policies. You will be responsible for scheduling works, managing engineer diaries, liaising with clients, and ensuring the seamless delivery of service and repair appointments.

Key Duties & Responsibilities

Scheduling & Job Management:

  • Take ownership of scheduling and job management, ensuring all jobs are added to Protean (CRM system) and providing updates and reports as required.
  • Manage engineer diaries and appointments, focusing on compliance servicing and testing.
  • Liaise with engineers morning and afternoon to ensure efficient planning and service delivery.
  • Work closely with technical supervisors & managers to ensure top levels of customer service.

Customer & Client Communication:

  • Manage customer calls, outbound appointment setting, issuing letters, and updating job stages in Protean.
  • Ensure real-time communication on repairs and compliance-related jobs.
  • Assist with customer queries, ensuring professional and timely responses.

Administrative & Reporting Duties:

  • Maintain strict compliance with CCS’s operations manual.
  • Work with the existing team to provide support in allocating, scheduling, and booking work, particularly during staff absences.
  • Assist with booking of appointments, parts, and follow-on works while reporting daily on job progress.
  • Request parts and organise material orders with the procurement team.
  • Report daily to line managers on all works in progress, quality checks, and defects.

Skills & Qualifications:

  • Strong reporting and administrative skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organisational skills and ability to manage multiple tasks effectively.
  • Problem-solving abilities and attention to detail.
  • Experience in CRM systems, such as Protean, is highly desirable but not essential.

Experience Required:

  • Exceptional customer focus with a commitment to delivering high-quality service.
  • Excellent IT knowledge and experience in managing appointments and scheduling.
  • Strong ability to analyse information and ensure smooth operational processes.
